The Role

As Administrative Assistant to the CEO, you will play a central role in ensuring structure, coordination, and efficiency across leadership activities and ongoing projects.

You will act as a trusted right hand, someone who protects time, ensures follow-through, and keeps priorities aligned.

You will work closely with:

  • Our CEO
  • International partners and stakeholders
  • Legal representatives and trading experts
  • Internal operations teams

You must be able to see the bigger picture while managing the smallest details, understanding how structure, preparation, and coordination directly impact business performance.

Your Responsibilities

  • Managing and coordinating calendars, meetings, and travel arrangements
  • Preparing materials and practical details for meetings, events, and business trips
  • Supporting planning and follow-up on strategic initiatives
  • Ensuring administrative workflows run efficiently
  • Coordinating across projects and tracking deadlines
  • Conducting research and preparing structured overviews when needed
  • Handling confidential and ad-hoc matters with professionalism

Who We Are Looking For

We are looking for someone who:

  • Has at least 2 years of secretary experience
  • Brings solid experience in planning, administration, and coordination, ideally from an international environment
  • Is highly proficient in MS Office and quick to learn new systems
  • Communicates fluently in professional English (written and spoken)
  • Is located in Denmark and can work from our Aalborg office on a weekly basis
  • Additional languages are a strong plus
